Privacy policy

This policy covers the registration website for the fest. It explains what we collect, why, where it is kept and what you can ask us to do about it.

What we collect

Only what the fest needs to run.

• Your account — your email address, and a password if you did not sign in with Google. Sign-in is handled by Google Firebase Authentication; we never see your Google password.
• Your profile — your name, mobile number, company, gender and district. A membership number if you enter one.
• Photographs — a photograph of each participant, used to confirm identity at the check-in desk.
• Children you enter — name, date of birth, gender and photograph. A child never has an account; they exist on the parent or guardian’s account.
• Entries and payments — which items you entered, the amount, and the reference number you give us after paying. We do not see or store your card, bank or UPI credentials at any point.
• Team members — the name and mobile number of each member a team captain enters. The number is how we make sure nobody is entered in two teams for the same item.
• Problem reports — if you use the “Report a problem” button: what you wrote, the screen you were on, your browser and device type, and your screen size. We do not record your IP address.

What we do not do

There is no advertising, no analytics and no tracking on this site. No third party is told that you visited, and nothing follows you to any other website. We do not sell, rent or share your details with anyone for marketing, ever.

Where it is kept

On Google Firebase. The database is hosted in Singapore (asia-southeast1) and photographs are stored in Google Cloud Storage, so your information is held outside India on Google’s infrastructure and protected by their security measures.

A copy of each registration is also emailed to the organising committee’s own address as it is made, and the whole register once a day. This is deliberate: it means the entries survive even if this website is lost, and it is why we can always tell you what you entered. Those emails contain the same details listed above.

The database is backed up automatically every day. Backups are kept in the same Google project.

Who can see it

• You — your own profile, entries, payments and passes.
• Organisers and volunteers — what they need for their job: entries, payments, and your name, photograph and chest number at the check-in desk.
• Nobody else. Results and the scoreboard are public and show participant names, companies and placings, as at any fest. Contact details are never public.

How long we keep it

For the fest and a reasonable period afterwards, so that results, certificates and accounts can be settled. You can ask us to delete your account and entries at any time (see below). Records of payments already made are kept, because the organisation has to account for money it received.

What you can ask for

Write to us and we will do it:

• a copy of everything we hold about you;
• a correction, if something is wrong;
• deletion of your account, your entries and your photographs. Where you have already paid, the payment record is kept for accounts, but nothing identifying you remains attached to the fest.

Cookies and local storage

We use no advertising or tracking cookies. The site stores a small amount of information in your own browser to keep you signed in, to remember your spacing preference, and to remember that you dismissed a notice. This never leaves your device and we cannot read it.

Children

Children do not have accounts and cannot sign in. A parent or guardian enters a child, provides their details and consents on their behalf, and can remove them at any time.

Changes

If this policy changes we will update the date at the top. Material changes will be told to registered participants by email.
